Submit a subject access request (SAR)

How to request your personal data.

We recommend that you make your request in writing, so that we have a clear record of what you are asking for.

Your online account and case reference number

The first time you submit your request online, the details you enter will be used to automatically set you up as a customer and you will be sent details of your account login information. From there, you will be able to view all requests you have sent and the current status.

When you submit a new request online, the system will use the data you enter to create a new case for you and will send you details of the reference number assigned to that case that same day. You should include this reference number in any correspondence with us.

Other ways to submit a request

You can also submit your request by post email, phone or in-person at our offices. If you submit your SAR using one of these methods, we will aim to acknowledge it within three working days.

Confirming your identity

We must be satisfied you are who you say you are before releasing personal information. This is to prevent data being disclosed to people who are not authorised to access it.

To verify your identity, we may ask you to provide:

  • a recognised form of photo ID
  • proof of your current address
  • any other information we believe is necessary

If you believe someone at the council can verify who you are, tell us the name of the person or team when you submit your request.

We keep copies of your ID for the minimum amount of time necessary to verify your identity and complete your request. Once we have completed verification, we will securely destroy your ID. 

If you are acting on behalf of someone else, you must provide evidence to show you are entitled to do so. More details are included in the SAR policy and procedure.

When we may charge you

Most SARs are free. 

We may charge a reasonable fee if:

  • the request is manifestly (clearly) unfounded or excessive
  • we have already provided copies of the information requested

We will contact you if you need to pay a fee.
