Guidance for council staff

Pay day

You'll usually be paid on the 27th of each month. If the 27th falls on a Saturday, Sunday or a bank holiday, you'll be paid on the Friday before.

You'll be paid earlier than the 27th in December, usually around 22nd of the month.

Accessing your payslip

Payslips are available electronically - they're called e-Payslips. Your user name is your payroll number, which can be found on a previous payslip.

Alternatively, it's called your employee number on the contract or statement of written particulars you received when you joined.

You can also obtain it from your manager.

Changing your bank account details

If you have access to iTrent self service, you can change your bank account details under the personal tab.

If you don’t have access to iTrent, please email HR Services with your current and new bank details.

Your P60

You can view your P60 in ePay, using the same username and password you use to access your e-Payslip. Your P60 is a summary of your total pay and tax each financial year (6 April to 5 April).

If you:

  • remain employed by the council on 5 April, your P60 will be available to view by the 31 May each year
  • leave the council during the tax year, any time before 5 April, you won't get a P60 but all your earnings details will be on the P45 you receive when you leave

Common e-Payslip questions

There are many questions around e-Payslips and we have answered the common questions below.

How will I access my e-Payslips?

You'll be able to access your e-Payslips anytime or anywhere with an internet connection. e-Payslips can be viewed from any internet enabled computer, laptop, tablet, smartphone or any other internet enabled device at home, either at work or on the move.

New starters will receive a welcome email around the 20th of each month.

How will I be notified when my e-Payslip is available to view?

You'll be able to sign up for email notifications once you've successfully logged into the ePay system.

Once you sign up for notifications, you'll receive a notification every month to tell you when your e-Payslip is ready. You can to opt out of these notifications should you wish to.

When will I be able to access my e-Payslips?

Your new e-Payslip will be available just before payday.

Can I access my e-Payslip outside of work?

Yes, your e-Payslips can be accessed on any internet enabled device in work, at home or on-the-go using any internet enabled device.

What happens if I leave Luton Council? Can I still access my e-Payslips?

Your e-Payslips will be available online to you for a period of three months after your termination date.

Can I still have a paper version of my payslip?

Yes. When you view your e-Payslip on the online portal you'll be provided with an option to print a copy from PDF format.

Can I use e-Payslips when applying for loans or mortgages?

Yes. All your e-Payslips are kept in one secure place on the online portal and you can download and save, or print copies from a PDF format, should you need them for a loan or mortgage application.

Salary scales and how you progress up by increment points

New starters are paid at the base point of the grade. You progress up one point each year on the anniversary of your start date in post, until you reach the highest point for the grade.

If you move to a new job in the council that is the same grade, you move on your current pay scale point and retain your original incremental date.
